COVID-19 Mitigation Plan
For the latest information on COVID-19, visit https://www.dph.illinois.gov/covid19
Purpose of This Plan
Knowing that eliminating all risk is impossible, we are committed to providing an environment that is as safe and healthy as reasonably possible for all participants. For the health and well being of our programs and event participants, staff, volunteers and families, Serve City will closely follow the mitigation plan detailed below based on the recommendations of Federal, State and Local authorities as well as a collaboration of several volleyball clubs and youth sport organizations. As an organization built on the values of Excellence, Relationships and Love, our top priority is the safety of every child enrolled in our programs.
The Serve City COVID-19 Mitigation Plan is presented below. Please read the plan carefully and take the necessary steps of precaution explained accordingly before your child’s participation in a summer camp or clinic. If you have any questions, please contact Serve City at info@servecityvolleyball.org.
Program Attendance
The CDC encourages organizations to pre-register participants online and to collect payment electronically while providing paperless receipts, which has already been our practice for our programs the last several years. We will maintain attendance logs, including phone numbers, to facilitate contact tracing of a confirmed exposure as necessary. Additionally participants who are sick that day need to stay home.
Health Status Screening for Participants
We require health status agreements during the creation of team rosters. Our agreements will be handled electronically. We will be emailing these agreements to families to fill out and submit to us online in the form of a short survey prior to each program session.
Participants must agree not to participate in a training session or match if they:
1. Are exhibiting the current CDC-recognized symptoms consistent with COVID-19: https://www.cdc.gov/coronavirus/2019-ncov/symptoms-testing/symptoms.html
2. Have knowingly been in contact with a suspected or positive case of COVID-19 within the past 14 days
3. Are within 72 hours of exhibiting significant COVID-19 symptoms or a fever
4. When recovering from a case of COVID-19, are less than 14 days from onset or less than 72 hours since the end of significant symptoms or fever
We also require families to fill out a brief online health screen the day of each practice. If your child exhibits symptoms of illness or a temperature above 100.4 degrees Fahrenheit she will be required to stay home.
Athletes’ Belongings
An area in the gym hallway will be designated for the girls’ belongings to be kept during the training session, with signage indicating to store items six feet apart from one another.
Hygiene and Sanitizing
As per the CDC Mitigation Plan, we will designate an on-site employee/volunteer to be responsible for monitoring and following all sanitation protocols. Employees, coaches and support staff will help enforce all hygiene protocols, including providing hand-washing capability or sanitizer and prohibiting the sharing of food and drinks among non-household members.
Sanitization Protocols
All participants and staff should wash their hands with soap and water or use an alcohol-based hand sanitizer if soap and water are not available upon entry to practice before joining the activities. We will have an adequate supply of hand sanitizer available at every training session.
We will also minimize contact between event staff, volunteers and participants to the extent that is reasonably feasible. This includes designating an event staff volunteer on-site to be responsible for monitoring participants to ensure all sanitation protocols and the mitigation plan are followed from arrival to departure at a practice.
Food, Hydration, Restrooms
Food and refreshments won’t be served for participants as per the CDC’s Mitigation Plan. Families will need to supply their children with full water bottles for each training session. Drinking fountains will not be available during training.
Athletes should also use the restroom at home shortly before attending practice. Athletes are welcome to use the restroom on-site, but only one child will be permitted in the restroom at a time, and they will need to either wash her hands with soap and warm water for 20 seconds or use the hand sanitizer we provide (our sanitizer contains 60-percent alcohol as recommended by the CDC) before returning to activities.
Staffing and Operations
We provide full training for our employees and volunteers regarding the COVID-19 Mitigation Plan and state mandates. We also have established a plan covering employees and volunteers who become ill along with a return-to work plan that follows CDC guidance.
Employees and volunteers may not come to work nor provide in-person or on-site services who:
1. Are exhibiting the current CDC-recognized symptoms consistent with COVID-19
2. Have knowingly been in contact with a suspected or positive case of COVID-19 in the past 14 days
3. Are within 72 hours of exhibiting significant symptoms or a fever
4. When in recovery from a case of COVID-19 are within 14 days from onset or less than 72 hours since the end of significant symptoms or fever
Illness During a Training Session
If one of the athletes begins to feel ill during a camp or clinic session, one of the coaches will take her aside, do a temperature check, then immediately contact the child’s parent or guardian who provided their cell phone number when they registered online for the event so that the parent/guardian can pick them up during the session.
Cleaning and Disinfecting
Thorough cleaning and disinfecting will be conducted each week, and the cleaning of volleyballs and other equipment used during a session as well as disinfecting of ball carts will take place between sessions in compliance with CDC protocols. We will wipe down volleyballs with sanitizing wipes and clean the floor in the hallway after belongings have been cleared out.
If an employee or athlete working at our camps or clinics is identified as COVID-19 positive by testing, CDC-recommended cleaning and disinfecting will be performed immediately after the confirmation of a positive test.
Face Coverings
Athletes will need to wear a face covering at all indoor practices as per the governor’s new COVID-19 sports mandate.
Spectators
We will strictly follow the CDC’s mitigation plan regarding spectators. The CDC discourages spectators from attending practices.
Additional Notes
Coaches and athletes entering the facility will be required to leave all extra items including purses/bags, additional clothes, shoes and all other personal items locked in the car. It is recommended to leave all items of value at home. Exit your vehicle ready for training. Bring plenty of water. There will not be availability to refill water bottles.
Interior doors of the facility leading to restrooms will be propped open to reduce contact with handles.
No handshakes, high fives, fist bumps or other physical interaction during training.
All huddles and coaching will occur with a minimum of 6’ of distance between athletes and coaches.
Should anyone participating in our programs, a coach or athlete, be diagnosed with COVID-19, they should immediately contact us and follow proper healthcare procedures as laid out by their health care professional, including quarantining.
Athletes, coaches and staff must have, in writing, signed clearance from their health care professional to resume activity after a COVID-19 diagnosis OR the original, dated, “order” to quarantine with the specified duration from their health care professional so we can verify their compliance with that “order” upon their return.
Detailed records of individual attendance will be kept and provided to health authorities upon request to allow for contact tracing should it be necessary. Upon official request, parent contact information will be provided.
Avoid touching your face, in particular your mouth, nose and eyes, with your hands. If you do touch your face, immediately leave the space and re-sanitize your hands.
It is recommended you sneeze or cough into your hands and then sanitize afterwards. Dispose of tissues in the trash and disinfect hands immediately.
No spitting. Respiratory etiquette should be demonstrated at all times.
